Servicing and maintenance work represents a major cost item during the lifecycle of a vehicle. Optimum planning and process control in this area enables operators of vehicle fleets to achieve significant savings potentials.

AuDaConINVOICE helps to exploit this potential efficiently. In the management of vehicle fleets, large numbers of sometimes unclear bills and invoices arrive every day for the various service and repair work carried out. These have to be inspected, checked and approved. In order to be able to actively control such a complex process, the resulting costs must be controlled before they occur.

AuDaConINVOICE provides a system with which advance process control becomes a matter of course. By means of the fully automatic controls, the user can intervene in the maintenance process, and control the extent and costs directly without further manual intervention.

Various service processes can be planned in advance in detail with regard to extent and costs. The costs of servicing and maintenance are made transparent for each individual vehicle, and can be confirmed at all stages over the complete usage cycle.

Objective

AuDaConINVOICE is the perfect online tool for the fleet manager for managing all required maintenance procedures. By means of consistent electronic standardisation of the processing procedure, without limiting the possibilities of user-specific control, AuDaConINVOICE is able to handle the complete process of repair registration, plausibility checking, approval and evaluation on a largely independent basis.

Simple communication

The fleet manager enters his vehicle fleet into the system. The workshop partner notifies a service or repair requirement by identifying the vehicle via his online access, and specifies the extent of the work requested with the aid of selection criteria. All entries are based on manufacturers’ data and jointly established parameters for the repair work, such as hourly rates or prices for materials.

Specifications/calculation

In accordance with the entries, AuDaConINVOICE checks such things as the plausibility and justification of a repair according to the manufacturer’s specifications. At the same time, the cost is calculated and the result presented for approval. If necessary, an expert team checks individual work that cannot be processed automatically by the system. Electronically established rules enable the fleet manager extremely efficient and process-optimised handling, right through to automatic approval.

Approval/status

The approval of the workshop order can be carried out automatically or manually. The approval process can be shortened and simplified by means of pre-defined approval rules. This enables the workshop to see immediately whether and to what extent the calculated cost can be covered. By means of a permanently updated status report, the workshop can also see the current status of every repair job, and what additional information might still be required. All service and repair reports can be viewed at any time. Any individual agreements made between the fleet management and workshops are taken into account at the approval stage.

Interface

All process data can be easily transferred into the user’s own processing system by means of a simple export function. The great advantage here is the consistent standardisation of all items. In order to create system-independent interfaces, XML and CSV have deliberately been chosen as the standard.

Report Generator

The Report Generator enables the creation of comprehensive and clear evaluations, analyses and electronic vehicle record cards. All stored data can be combined to produce conclusive statistical assessments with only a few mouse-clicks. The result can be saved as a CSV-file for convenient further processing, e.g. in MS-Excel.
